Biosketch and Other Support

BSOS Application

The Biosketch and Other Support (BSOS) application, available in access.caltech.edu, is designed to collect other support information in one place to aid researchers (principal investigators, senior and key personnel) in creating a Biosketch and Other/Current and Pending/In-kind support documentation for federal sponsors to be disclosed in proposals and annual reports, as required. Caltech recommends you review the information that is provided here and decide which components should be provided to your sponsor.

The BSOS application also allows you to designate personnel on campus who can view this information. It is recommended you designate your Division Operations Officer and your Grant Manager so that they can assist you in creating your Biosketch and Other Support for submission. If you are a co-investigator, postdoc or research staff member it is also recommended that you also designate your PI/supervisor.

Also included in the BSOS application is a certification of not belonging to a Malign Foreign Talent Recruitment Program (MFTRP). For more information about MFTRPs, please see Caltech's information about Foreign Talent Recruitment Programs.

BIOSKETCH

From the DFIC, the BSOS collects any commitments or appointments that should be reported in a researcher's Biosketch, and any financial interests or collaborative relationships that could be interpreted as Other Support by the federal agency sponsors.

OTHER SUPPORT

For Other Support, Sections 1-7 of the BSOS provide the following information from Caltech sources:

Section 1: Other Support - DFIC (Related to your Financial Interests or Commitments Outside of Caltech)

The Entities shown here are Entities from your DFIC disclosure that could be reportable as part of your Biosketch.

If you need to add Entities to or delete existing Entities from this Section, you MUST do so through the Disclosure of Financial Interests and Commitments (DFIC) system. While your DFIC is in "Draft" status, Entities entered into the DFIC application will not appear here. While you cannot add Entities here, you can add foreign agreements or indicate whether you'd like to include an entity on your biosketch by selecting yes or no.

Section 2: Additional Possible Other and In-Kind Support (Editable)

Use this section to add Other Support or In-Kind Support that are not included in (i) Other Support related to your Financial Interests or Commitments Outside of Caltech (see above), in (ii) Caltech Support (see below for Grants, Contracts, and Gifts; Awards; and Postdoctoral Fellowships). For purposes of reporting In-Kind Support, you should disclose all contributions with an estimated dollar value of $5,000 or more and that require a commitment of an individual's time.

It may be helpful to upload multiple Other Support or In-Kind Support entries at once. You or your designee can enter Entities in an Excel spreadsheet template and email it to Caltech's Office of Research Compliance. The data will be uploaded into the BSOS system. Please download the Excel spreadsheet template for Other Support and In-Kind Support linked below.
1. Fill in the spreadsheet.
2. Save the spreadsheet using a file name that indicates the researcher's name.
3. Email the file to [email protected].

Section 3: Other Support (Caltech Grants, Contracts, and Gifts)

These Sections include Contracts, Grants, and Gifts on which you are an Award Manager, Project Manager, Task Manager or CO-PI, in Oracle.

This information is from the Caltech financial system. You should see all active awards with an active PTA. You may be missing brand new awards that do not yet have a PTA. You may also see some gifts which no longer have funds in them. If you have questions, reach out to [email protected].

Section 3a: Recently Ended Other Support (Caltech Grants, Contracts, and Gifts)

This information shows recently ended awards that were ended in the last 18 months.

Section 4: Other Support (Caltech Awards from which You Have Been Paid)

This section includes Caltech Awards from which you have been paid in the last fiscal year and current fiscal year so far- and you are NOT the PI or award manager.

Section 5: Other Support (Externally Funded Postdoctoral Fellows)

This information includes funding support from the postdoc office and DPM.

Section 6: Other Support (Graduate Students - Financial Interests or Commitments)

This information includes DFIC from graduate students in your line of supervision that may be reportable as In-Kind Support. This section includes reported fellowships, stipends, and scholarships ("Fellowship"); academic or research appointments ("Appointment"); and involvement as an employee, intern, volunteer, consultant, or instructor ("Other Activity") that your graduate student has disclosed. You may add people manually to this section.

Section 7: Other Support (Staff under your Supervision- Includes Research Staff and Postdocs)

This information includes DFIC from research staff and postdocs in your line of supervision that may be reportable as In-Kind Support. This section includes reported fellowships, stipends, and scholarships ("Fellowship"); academic or research appointments ("Appointment"); and involvement as an employee, intern, volunteer, consultant, or instructor ("Other Activity") that your staff member has disclosed. You may manually add people to this field.
